1. Payment Requirements
IIndividual appointments reserve practitioner time for a specific date and time. Full payment is required for appointments booked online.
Appointments scheduled directly with the practice may be paid at the time of booking or at the time of service.
All appointments remain subject to the cancellation and no-show provisions of this policy.
Gift certificates, scheduling incentives, and other promotional offerings may be applied in accordance with their applicable terms.
All prices are listed in U.S. dollars.
2. Authorization to Charge Payment Method
By booking an appointment and providing a payment method, clients authorize Balance Point Reflexology to securely store the payment method provided and, where applicable, charge that payment method for:
- late cancellation fees in accordance with this policy; and
- no-show fees in accordance with this policy.
3. HSA/ FSA Payments
Some clients choose to use Health Savings Account (HSA) or Flexible Spending Account (FSA) funds to pay for reflexology services. Acceptance of an HSA/FSA card at checkout does not guarantee eligibility or reimbursement. Coverage rules vary by plan and are determined solely by the plan administrator.
Reflexology services are provided within Washington State’s reflexology scope of practice as a complementary wellness service and do not constitute medical diagnosis or treatment. Many HSA/FSA plans may require a Letter of Medical Necessity from a licensed medical provider for reimbursement.
Clients are responsible for verifying eligibility with their plan prior to booking.
Upon request, the practice can provide an itemized receipt suitable for reimbursement submission. Reimbursement determinations are made entirely by the HSA/FSA administrator. Any denied or reversed claims remain the client’s responsibility.
4. Superbill-Style Receipts
Upon request, clients may receive an itemized receipt (superbill-style document) showing service date, service description, fee paid, and practitioner/business information for reimbursement submission purposes. This document is provided for client convenience only. The practice does not submit insurance claims and does not guarantee reimbursement.
5. Cancellations & Rescheduling
A minimum of 24 hours’ notice is required to cancel or reschedule an appointment.
Appointments cancelled or changed with less than 24 hours’ notice will be charged 100% of the scheduled service fee to the payment method on file.
6. No-Shows
Clients who fail to attend a scheduled appointment without prior notice will be charged the full scheduled service fee.
7. Late Arrivals
Late arrival may result in a shortened session to respect scheduled appointments. The full session fee applies.
8. Scheduling Incentives
The practice may periodically offer scheduling incentives for qualifying appointments scheduled within a stated timeframe. These incentives apply to individually scheduled appointments and do not constitute prepaid packages, stored credit, or bundled purchases. Each appointment remains individually scheduled and subject to the standard payment, cancellation, and no-show policies.
Scheduling incentives are based on paid 60-minute reflexology sessions scheduled within the applicable qualifying period. Reasonable rescheduling in accordance with the practice’s cancellation policy will not affect eligibility.
Canceled appointments, no-shows, complimentary sessions, and sessions redeemed using gift certificates do not qualify toward a scheduling incentive.
Each qualifying appointment may count toward one scheduling incentive only. Once a reward has been earned, the qualifying appointments used to earn that reward will not count toward a future incentive.
Incentives cannot be combined with other promotions, discounts, or offers, transferred, redeemed for cash, or applied retroactively unless required by law.
If the practice is closed for vacation or another planned extended closure, applicable qualifying periods will be extended to account for the time the practice is unavailable.
Scheduling incentives are available only while the program is active and may be modified or discontinued at any time without prior notice. Changes will not affect rewards that have already been earned.
9. Gift Certificates
Gift certificates are available and may be applied toward individual sessions.
Gift certificates carry a dollar value and do not expire. They are non-refundable and not redeemable for cash except where required by Washington law.
Sessions redeemed using gift certificates do not qualify toward a scheduling incentive. Qualifying paid sessions completed separately from gift certificate redemptions may count toward a scheduling incentive in accordance with the program terms.
10. Refunds & Final Sale Policy
All services and gift certificates are final sale. No refunds are provided for completed sessions. Prepaid services may be rescheduled within the applicable cancellation policy but are not refundable.
11. Scope of Practice
Reflexology is a complementary wellness practice and is not intended to diagnose, treat, cure, or prevent disease. Reflexology does not replace medical care. Clients are encouraged to consult appropriate medical professionals for medical concerns.
12. Accessibility
Balance Point Reflexology is located in a professional office building that currently requires stairs for entry and is not wheelchair accessible. Clients with accessibility needs are encouraged to contact the practice prior to booking so that possible accommodations can be discussed.
This policy supersedes all previous Purchase, Payment, Cancellation & No-Show Policies.
